Booking Terms & Conditions

Preamble: Ventact South is an annual activity camp open to the Senior Sections of Scouting and Guiding. The event is organised by the Ventact South Subcommittee who are appointed yearly by the Joint Committee of Scouts and Guides in Cork.

  • The applicable booking fee and relevant participant details (Name and Date of Birth) must be paid in full in order to secure any booking, groups have 72 hours to complete these requirements after the booking has been made. By completing this online application form you are committing to pay in full the Ventact South Activity Fee applicable to you. These are set and published annually in advance of the opening of bookings.
  • All bookings are online via the Ventact South Booking System. Payment can be made online via the Sum Platform or Bank Transfer. All Bank Transfers must have the booking reference on the transfer or we will be unable to allocate it and the money returned. Bookings which are not accompanied with full payment after 5 days shall be cancelled.
  • All receipts will be issued electronically along with a bookings confirmation message.
  • Bookings are taken on a first come first served basis. The organising committee will shut all bookings when the event capacity is reached.
  • Bookings are non-refundable and non-transferable prior to the event. All request for refunds must be sent to [email protected] with the reason for the booking cancellation. The bookings team may direct you to fill out a refund form as required. Full or Partial Refunds are only issued after the event and at the Ventact South Subcommittee’s discretion depending on the financial viability of the event.
  • All bookings correspondence will be via email, please ensure the email entered when booking is correct, also please ensure that you enter a valid phone number. Ventact is not responsible for any issues with bookings if the incorrect information is provided during the booking process. Only an authorised leader may make the booking on behalf of the group, note it is only one booking per group. This authorised leader must be attending Ventact South and must be aged 22 years or older.
  • To maximise the number of young people that can attend Ventact the event will be a “Venture Only Event” for Scouting Ireland, a “Senior Branch only” event for Irish Girl Guides & a “Rangers Only Event” for Catholic Girl Guides This means that all Scouting Ireland participants must be aged under 18 on the Sunday of Ventact (ie. 17 years & 364 days). Anyone aged over 18 is to be booked as a Scouter and must have the required training completed to attend Ventact.
  • Only 1 authorised Scouter/Guider should register on the system for each Scout/Guide Group/Unit. There should not be multiple users from the same group.
  • Relevant safeguarding and vetting requirements must be adhered to by each member of the relevant organisation – either Scouting Ireland, Irish Girl Guides or Catholic Girl Guides.
